These terms describe the basic rules and responsibilities for using the HostelCare hostel maintenance management system.
1. Acceptance of Terms
By accessing and using HostelCare, users agree to use the system responsibly and in accordance with the intended purpose of the hostel maintenance management system.
2. System Purpose
HostelCare is designed to support the reporting, tracking and management of hostel maintenance complaints.
The system should only be used for legitimate hostel-related maintenance and management purposes.
3. User Account Responsibilities
Users are responsible for maintaining the confidentiality of their account credentials.
- Do not share your password with other people.
- Use your own account when accessing HostelCare.
- Provide accurate account information.
- Log out after using HostelCare on a shared or public computer.
4. Complaint Submission
Students should provide accurate and relevant information when submitting a maintenance complaint.
- Complaint titles should clearly describe the reported issue.
- Descriptions should provide useful details about the problem.
- The selected priority should reasonably reflect the reported issue.
- Uploaded images should be relevant to the complaint.
5. Prohibited Use
Users should not use HostelCare for activities unrelated to its intended purpose or activities that may disrupt the operation of the system.
- Submitting false or misleading complaints.
- Submitting inappropriate or offensive content.
- Attempting to access another user's account.
- Attempting to access functions that are not available to the user's assigned role.
- Deliberately interfering with the operation of the system.
6. Role-Based Access
HostelCare provides different functions based on the user's assigned role.
- Student: Can submit and track their own maintenance complaints.
- Technician: Can manage complaints assigned to them and update maintenance progress.
- Admin: Can manage users, complaints and technician assignments according to the system functions provided.
7. Maintenance Workflow
Complaints follow a structured workflow within HostelCare:
Status changes are managed according to the maintenance workflow implemented in the system.
8. Telegram Notifications
HostelCare may send maintenance notifications to the designated HostelCare Telegram group.
These notifications are intended to support maintenance coordination and may contain complaint-related information.
9. Completion Evidence
Technicians may be required to upload completion evidence before a maintenance complaint can be marked as completed.
Uploaded evidence should accurately represent the completed maintenance work.
10. Service Rating and Feedback
Students may provide a rating and optional feedback after a complaint has been completed.
Feedback should be relevant to the maintenance service received and should not contain inappropriate content.
11. System Availability
HostelCare is intended to support hostel maintenance management. System availability may depend on the hosting environment, network connection and maintenance activities.

Users who have questions regarding the use of HostelCare should contact the relevant hostel management or system administrator.
